Choose answers that benefit from consistency
A saved reply library is most useful for information you explain repeatedly: package scope, resource delivery, preparation steps and how the next conversation works. Start with answers you already give confidently. Separate the stable explanation from the details that change for each person.
For example, the description of a planning package may stay consistent while the prospect’s goal and intended start date vary. Save the accurate scope, then personalize the introduction and next question when you use it. Keep custom quotes and uncertain availability out of a general answer until confirmed.
List the owner of each business fact in your own review process. When a package changes, someone should know which saved replies need an update.
Create the first reply in GramFather
Open Saved replies for the Instagram account you are working on and select New reply. The editor includes Title, Shortcut, Available on and Reply. A title and message are required; the shortcut is optional.
Use a title that describes the answer, such as “Planning package scope.” If you add a shortcut, choose something memorable such as /planning. Follow the allowed format shown by the editor. Search supports words and shortcuts so your library stays easy to navigate.
The Available on control lets you keep a reply on one connected account or make it available to all your Instagram accounts. New replies begin with the current account selected. Choose a shared reply only when its facts and voice apply across those accounts.

Give each entry one main job. If the reply covers several unrelated situations, split it into clearer answers. A focused library makes selection and review easier.

Check the preview and fallback wording
The editor’s Live preview uses a sample full name and username. Supported template syntax includes a fallback such as [first_name|there], which can keep a greeting readable when a name is unavailable. The editor displays template help beside the message.
Try a normal sample name and then a missing or unsuitable name to inspect the result. If you use wording variations, review them with Another variation. Confirm that every variation still answers the same question accurately and stays within the editor’s guidance.
The preview is a sample person, not a verified recipient. Before sending a real message, check the rendered name, grammar, links and business facts in the actual conversation. Personalization should make the answer more relevant, not introduce a claim you have not confirmed.
Save, find and use the reply
Select Save reply, then search for the entry by a word or shortcut. The library shows its account availability, and the controls let you edit or change its order. Clear an active search before rearranging the list.
In the Instagram overlay, choose the reply and review it in the composer. Adapt the opening and next step to the person’s actual question, then send when ready. The saved-reply workflow supports a deliberate final review; creating the library entry is separate from sending a message.
After a meaningful exchange, record the relevant context and next action in the contact’s CRM record. The business DM examples can help with wording, while this guide focuses on maintaining the library itself.
Keep the library current as your offer changes
Review entries after changes to prices, scope, booking links or delivery timing. Search for the old wording to locate affected templates, update them and check the preview again. Retire duplicate answers so your team has a clear source to use.
Ask whether each reply helps someone decide or complete a task. If a message regularly prompts the same clarification, improve that section. Use real questions as editorial feedback without treating usage counts as proof of sales impact.
