Add a closed or not-now outcome appropriate to your workflow. Keep the number of stages small enough that you can reliably update them.

Keep four useful notes per contact

  • Need: what the person wants to accomplish.
  • Context: the post, conversation or source that introduced you.
  • Fit: which offer may help and what you still need to confirm.
  • Next action: what you agreed to do, and when.

Record details relevant to serving the person. Use tags to make groups easier to review, such as interest in a particular service.

Make follow-up useful

A good follow-up continues the actual conversation. If someone requested an example, provide it. If they asked about timing, answer with current availability. If they said a later date would work, record that agreement and use it to guide your next step.

An illustrative message: “You asked how the first session works. Here is the outline we discussed. Would you like me to clarify anything before you decide?” Adapt the content to what the person actually requested.

Review your pipeline each week

Look for contacts with an agreed next action, offers awaiting a decision and won deals ready for delivery. Update the stage after meaningful progress. Review why opportunities move forward and where people need more information.

Track qualified opportunities, offers and wins using consistent definitions. Small samples can vary widely, so treat early rates as observations rather than reliable forecasts.
