Confirm what the consultation covers, use your chosen booking process and prepare a short contact brief. Afterward, record the decision and complete the information you agreed to send.

Define what the consultation is for

A consultation works best when the person knows what to expect. Explain the purpose, approximate duration, who will attend and whether there is any charge. Describe the decision or clarification the conversation is meant to support.

For a hypothetical content service, the consultation might review the business’s current planning process, confirm the package fit and discuss responsibilities. It might result in an offer outline or a decision to explore a different scope. Use the actual purpose of your call.

Connect the invitation to the person’s stated need. “You mentioned wanting help choosing monthly topics; this conversation would let us review your current process and explain our planning scope” is more informative than a generic invitation.

Confirm the booking through your actual process

Share the correct scheduling link or agree a time through the process your business uses. Confirm the timezone, location or meeting link, and any preparation. If another team member will attend, explain their role.

Distinguish an invitation from a confirmed booking. Sending a link means the person has the booking option; a completed appointment needs confirmation from the booking process. Record each event accurately in your operating system.

Keep facts distinct from assumptions. “Asked whether the package covers two locations” is a confirmed question. “Will buy if we include two locations” is an interpretation that should be checked.

Limit the brief to information relevant to the work. The person attending should be able to understand the context quickly without reading unrelated personal details.

Use a warm internal handoff

If a teammate will lead the consultation, identify what they need to know and what they must confirm. A useful internal note might say: “They want a monthly topic plan and have their own photos. Standard package details shared. Please clarify whether they need captions and confirm the start window.”

Before the consultation, the recipient should acknowledge ownership through your team’s agreed process. Assigning a name in a document is not the same as ensuring someone has accepted the work. Use whatever communication system your team actually relies on.

At the start of the call, summarize the goal and invite corrections. The person may have learned something or changed priorities since the Instagram exchange. The brief supports continuity while leaving room for current information.

Record the outcome and fulfill the promise

After the consultation, write a short outcome note: what was confirmed, the offer or scope discussed, the decision still open and the next agreed action. If you promised a revised outline, create a task with the delivery time.

An illustrative follow-up could say: “Thanks for explaining [goal]. We agreed that the next step is [action]. I will send [specific information] by [time], including [important detail].” Send only the commitments your business can fulfill.

Update the contact stage based on the actual outcome. A completed call may lead to an offer, a later discussion or a concluded enquiry. It does not automatically indicate a sale. Use verified purchase records for a Won outcome.

Review the handoff quality

Look at a small set of completed consultations and ask whether the brief contained the information the attendee needed. Note repeated gaps: unclear scope, missing timing or an unanswered price question. Improve the initial enquiry process to collect those details at the right moment.
