Agree on the report before collecting the numbers

A useful client report begins with a shared question. The client may want to know whether content explains a new service, whether relevant enquiries are arriving or whether the team is keeping up with follow-up. Choose the question that matches the service scope.

Define the reporting period and the sources you will use. Assign responsibility for information held outside the marketing workspace, such as confirmed sales or consultation outcomes. Mark unavailable data clearly and explain what would be needed to complete it.

Keep metric definitions stable between reports. If the definition of a qualified opportunity changes, document the change and its effect on comparison. A consistent small report is easier to interpret than a changing collection of numbers.

  7. Next actions: owner, date and the reason for each change.

Use a brief opening statement such as: “This period focused on explaining the planning package. We published the agreed series and reviewed enquiries about scope. Next month we will clarify the revision process because that question appeared repeatedly.” Replace this hypothetical summary with the actual evidence.

Explain whether a count refers to events during the period or a group that started during the period. A sale confirmed this month may come from an older enquiry. Report that honestly rather than dividing unrelated counts into a conversion rate.

For source-reported engagement measures, retain the source’s definitions and observation window. Use the values actually available rather than filling gaps with estimates that appear exact.

Write observations with their supporting evidence

A strong observation identifies what happened and why it matters to a decision. “Several enquiries asked whether captions are included, so we propose adding a scope explanation” connects evidence to a practical change. Include the actual count when your records support it.

Distinguish that observation from a causal claim. A change in enquiries after a new content series does not by itself prove the series caused the change. Other offers, referrals, seasonality or activity may have contributed. State the interpretation at the level the evidence supports.

Include a few representative questions with identifying details removed when sharing them is appropriate. Those examples help the client understand the topic behind the counts and can make the next content decision concrete.

Finish with a decision log the client can act on

  • Action: the specific change proposed.
  • Evidence: the observation prompting it.
  • Owner: who will prepare or confirm it.
  • Deadline: the relevant delivery or review date.
  • Check: what you will inspect in the next report.

For example, propose updating the package explanation, assign the client to confirm scope wording and assign the content owner to prepare the post. At the next review, check whether the work happened and whether the same question continues to appear.

Ask the client to resolve the decisions that affect delivery. A report becomes an operating tool when it leads to a clear agreement about the next period.

Check the report before sharing it

Verify dates, totals, definitions and links against their sources. Confirm that demonstration screenshots and sample numbers are labeled. Ensure the written summary matches the actual data, including limitations and unconfirmed outcomes.
