Schedule an Instagram post in seven steps
- Choose the account. Use the account switcher at the top of the sidebar. Each post belongs to the selected Instagram account.
- Open the composer. Under Content, choose Scheduler, then New post. Photo is the default. Select Carousel for 2–10 images or Reel for one video.
- Add your media. Choose files for images or Choose video for a Reel. Wait for the upload to finish. Check the preview and any validation message.
- Write and review the caption. Add your explanation and next step. Review optional AI caption ideas and saved hashtags before using them.
- Set the date and time. Under When, choose a future date and time. Read the automation time zone printed below the fields and check the active-hours note.
- Save the schedule. Click Schedule post. Look for the Scheduled for confirmation and the calendar entry. Save draft keeps unfinished work available to edit later.
- Verify publication. Keep Chrome and the connected extension running, with Instagram signed in and automation enabled. After dispatch, open the entry and check its status and View on Instagram link.
Scheduler is included in every plan, starting with Starter. Review the trial, subscription and provider-usage terms. The video above shows these controls in the actual interface.
Choose the right format before uploading
| Format | Prepare | Review before scheduling |
|---|---|---|
| Photo | One JPEG, PNG or WebP image, up to 8 MB. | The feed shape and Crop to fit preview if needed. |
| Carousel | 2–10 images; up to 8 MB each and 40 MB total. | The numbered order. Use Move earlier or Move later to adjust. |
| Reel | One H.264 MP4, 3–90 seconds and up to 100 MB. | The cover and Also share to feed, which starts on. |
These are GramFather composer requirements. Use the current Scheduler help guide for every control and default. Plan your topics first with the Instagram content calendar.
Check a scheduled post that has not published
Open its Scheduler entry and read the message. Start with the account, extension connection and signed-in Instagram session. In Settings → Automation & safety, check that automation is on and that your selected time falls within active hours. Times outside that window wait until active hours begin.
A saved draft remains a draft until you edit it and select Schedule post. A Scheduled status confirms the saved plan; Published and View on Instagram confirm the outcome. If a button is disabled, read the reason beside Cancel, finish any upload, correct the media or caption, and choose a future time. A Needs you status requires manual attention.
Keep your scheduling tool and content planning workflow together: prepare useful posts, review the queue, then verify each result.
Before you begin
This tutorial uses the actual GramFather interface with fictional teaching data and AI-assisted narration. Sample counts and contacts demonstrate the controls; they are not customer results. Check your plan’s feature allowance and keep the Chrome extension connected for browser actions. AI provider usage is separate where applicable.

Schedule photos, carousels and Reels
Plan your Instagram content with GramFather. This complete composer tutorial covers photos, carousels, Reels, covers, captions, hashtags, dates, drafts and fixes. The actual interface uses fictional media in an isolated workspace. Nothing in this demonstration is published to Instagram.
Prepare the account and publishing browser
Scheduler is included in every plan, starting with Starter. Choose the Instagram account at the top. Each post belongs to that account. At publishing time, keep Chrome open with the GramFather extension running the account and Instagram signed in. Turn automation on in Settings, Automation and safety, and set the correct time zone and active hours.
Open a new post and choose its type
Under Content, open Scheduler and click New post. Photo is the default: one image. Carousel holds two to ten images in order. Reel holds one video. A copied post keeps its original type. The empty composer also offers Generate images or Reels with AI, which opens the separate content planner.
Upload a feed photo
For a photo, click Choose files or drag the image onto Drop images here. Use JPEG, PNG or WebP, up to eight megabytes. Wait for the upload spinner to finish. Instagram feed images must be between four-to-five portrait and one-point-nine-one-to-one landscape. A filled Photo has no second upload slot; use Carousel for multiple images.
Correct an image that is too tall or wide
If the tile says Wrong shape for the feed, click Crop to fit. GramFather crops from the centre to the nearest accepted feed shape and uploads the corrected copy. Check the preview so important content remains visible. The example starts as a tall Reel frame; the corrected image can now be scheduled.
Check the corrected preview
After cropping, the warning clears and the upload completes. Use Remove image if you prefer another file, then choose the replacement. Before publishing, the extension re-saves large images as JPEG up to fourteen hundred and forty pixels wide. Videos are uploaded unchanged.
Write and validate the caption
Write your caption on the right. The first line is what readers see before more. Counters use Instagram character counting, with a maximum of twenty-two hundred characters and thirty hashtags. They turn red when you exceed a limit, and saving or scheduling stays unavailable until the caption is valid.
Ask for three caption ideas
Click Write it for me. Describe the topic in up to three hundred characters and optional required facts in up to one thousand. Connect OpenRouter in Settings, AI models, and set Brand voice first. OpenRouter bills the usage separately. With media attached, the AI can inspect the first four images or a Reel cover; the Image analysis model must support that work.
Choose, edit or regenerate an idea
Click Get three ideas for a tip, short story and conversation starter, each with suggested hashtags. These are fictional offline results. Use this replaces the caption and adds its hashtags unless saved hashtags are selected. Edit the result to match your facts. Try again requests another set; Hide ideas closes the panel. Prompts discourage invented offers or results, but still review every claim. Use link in bio for a destination because caption links are not clickable.
Add the saved hashtags for this account
Find and save hashtags opens Your hashtags. Save up to five for this account. Tick Add my saved hashtags to this post and read the combined preview. Duplicate tags are skipped. Additions fit only within five total hashtags and the caption character limit. Any tags that cannot fit are reported. The dedicated hashtags tutorial covers finding and maintaining them.
Understand when saved tags start checked
On new posts, the checkbox follows Automatically add my saved hashtags to new posts. It starts unticked when that preference is off. Editing an existing post always starts unticked, because the saved caption already contains its tags. You can change this choice for the individual post. Existing captions are preserved when you update saved hashtags.
Choose the date, time and best-time slot
Under When, choose Date and Time. These fields use the automation time zone printed below them. Schedule in the future and within one year. A new post starts at the next Best times slot, or about an hour ahead rounded to the quarter hour when none exist. Click any of the three best-time chips to use its next date and time. Research means general Instagram research is being used until you have at least nine posts.
Check automation and active hours
Read the timing note before saving. Yellow Automation is switched off means the post waits until you enable automation. When automation is on, a blue outside-hours note explains that the post waits until active hours start. Choose a time inside that window to target the selected time, and keep the publishing browser available.
Save the scheduled photo
Click Schedule post. The confirmation says Scheduled for, with the date and time. The calendar receives the post with Scheduled status, and the publishing summary counts it. Scheduled is a plan to publish; it is not evidence that the Instagram post is already live. This example was saved only in the isolated tutorial workspace.
Build a carousel from two to ten images
For a carousel, choose Carousel before adding files, or add multiple images to an empty Photo. GramFather switches to Carousel automatically. Use two to ten images, each up to eight megabytes and forty megabytes total. Every image must meet the feed shape requirement. Choose files under Add more until you have the sequence you want.
Arrange the carousel sequence
Drag an image onto another tile to reorder, or use Move earlier and Move later. The numbers show the final sequence; the first image opens the carousel. Remove image takes a tile out. Keep at least two for a carousel. Then write the caption and choose a time, or save the unfinished post as a draft.
Keep an unfinished post as a draft
Save draft requires at least a caption or an image. After Draft saved, look in the Drafts card below the calendar. Drafts do not appear as calendar publications and never go out automatically. If you deliberately picked a date, the card can say pencilled in, but it remains a draft until scheduled.
Reopen, edit and schedule the draft
Click the draft card to open its details, then Edit. Finish the media, caption and timing, and click Schedule post. Our carousel is now scheduled for the chosen Thursday slot. Post now is a separate immediate publishing action in the details panel. It still needs a valid post and the account publishing requirements; we do not run it here.
Upload an Instagram Reel
Choose Reel, then Choose video, or drag an MP4 onto the empty composer. An empty post recognizes a video and switches to Reel. Use H.264 encoding, three to ninety seconds, and up to one hundred megabytes. Wait for Uploading to finish, then check duration, dimensions and size. Nine-to-sixteen is recommended. Other shapes show a note about bars or cropping. Remove video clears it; another selection replaces it.
Choose a frame for the Reel cover
Without a cover, Instagram picks a frame. Move Scrub to a frame to the moment you want, then click Use this frame. The preview changes to that captured frame. Choose something that remains understandable as a small grid image, and inspect the preview before saving.
Upload a cover and choose feed visibility
Upload a cover accepts JPEG, PNG or WebP up to eight megabytes. Remove returns to Instagram choosing a frame. Also share to feed starts on, showing the Reel in your profile grid and followers feeds as well as the Reels tab. Turn it off for the Reels tab only. Finish the caption and schedule, or save the Reel as a draft.
Review a change of post type
Switching between Reel and Photo or Carousel asks first, because their media types differ. The confirmation explains that the existing video or images will be removed. Switch accepts that change; Cancel keeps the current type. We keep the Reel and save its draft. A video dropped into an already populated image post must first be switched to Reel.
Start from a specific calendar day
You can start from the plus button on today or a future calendar day. The composer opens on that date at your top best-time hour, or eleven in the morning when none exists. Check both fields and the time zone. Editing a scheduled post starts from that posts own time. The calendar-management tutorial covers moving posts and handling each status.
Handle an unsaved post deliberately
Clicking Cancel or closing a changed composer opens Discard this post. Discard closes without saving and removes uploads that were never saved. Cancel returns you to the composer so you can continue or Save draft. In this example we keep the work as a dated draft. Deleting a saved post also removes its files unless another post-again copy still uses them.
Open the AI content planner
For generated media instead of your own uploads, open a new empty post and click Generate images or Reels with AI. The content planner opens to build batches for review and approval. Its provider models, paid generation, reusable briefs, review controls and scheduling have their own complete tutorial. Return to the composer for individual uploaded posts.
Plan within publishing limits
GramFather allows at most three scheduled and published posts per Instagram account per local day, and no more than three in a rolling twenty-four hours at dispatch. Your Posts published safety limits also apply. They start at three per day and one per hour, so nearby posts normally publish at least an hour apart. A post over twelve hours late becomes Failed rather than being published as stale content.
Resolve validation and upload problems
When a button is disabled, read the reason beside Cancel. The example exceeds thirty hashtags; remove extras. Fix images that are too large or the wrong shape. For Reels, re-export unreadable or HEVC video as H.264 MP4 within duration and size limits. If a time has passed, choose a future time or save a valid draft and use Post now. If saving fails, read the red Not saved box for the exact reason.
Verify the result and continue learning
If saved hashtags fail to load, click Retry or Continue without saved hashtags. If a saved post does not go out, open its calendar entry and Scheduler details to read the message. Successful publishing changes Scheduled to Publishing to Published and adds View on Instagram. Needs you means manual attention is required. The description links the software, free trial, exact guide, calendar tutorial and full demo.

Can I schedule Instagram posts from my computer?
Yes. Use GramFather’s web Scheduler to prepare and schedule photos, carousels and Reels. Publishing uses the connected Chrome extension and your signed-in Instagram session.
Can I save an Instagram post as a draft before scheduling it?
Yes. Add at least a caption or an image and select Save draft. Open the draft below the calendar, choose Edit, finish the post and select Schedule post when ready.
Which time zone does GramFather use for scheduled posts?
The composer uses the automation time zone shown below Date and Time. Set it under Settings → Automation & safety → Active hours. A post outside your active hours waits until that window starts.
Can I watch without signing up?
Yes. This video and its written transcript are publicly available. Sign in to GramFather when you want to follow the steps in your own workspace.
Are the names and results in the demonstration real customer data?
The demonstration uses fictional teaching data in the actual interface. Sample names and counts explain the controls and are not promised results.
